Refund Policy
Remainder of Payment is Refundable if:
After the preceptor begins precepting the student for their rotation, and the preceptor can no longer precept the student, a prorated refund (or full refund) will be provided based on the percentage of hours completed in the rotation.
If the rotation has not been started, and the preceptor can no longer precept the student, the student will be either provided a full refund or the student may request an alternative preceptor/clinic as long as Preceptor Search deems it possible to find an alternative.
If the rotation has not been started, and the preceptor can no longer precept the student and Preceptor Search is unable to find an alternative.
Preceptor/clinic is not approved by a student’s educational institution due to incorrect information provided from the preceptor/clinic that was used by the student to accept the placement and make the full payment.
Remainder of Payment is Non-Refundable if:
The student fails to reach out to and/or contact the preceptor/clinic after the placement has been confirmed and full payment has been made.
The student stops attending the rotation without notifying Preceptor Search.
The student does not follow the preceptor/clinic’s policies, procedures, or expectations, resulting in the termination of the rotation.
The student’s educational institution does not approve the preceptor/clinic due to the student’s failure to verify approval requirements before accepting the placement.
The student decides they no longer want the placement after the full payment has been made and the preceptor/clinic has confirmed the rotation.
The student’s personal circumstances change (e.g., relocation, schedule conflict, change of program) after full payment and placement confirmation.
Student Responsiveness Expectations
Students are expected to respond to all communications from Preceptor Search within 4 calendar days. This includes emails, phone calls, and messages related to placement coordination, preceptor introductions, or required documentation.
If a student fails to respond within the expected timeframe on two or more occasions, Preceptor Search reserves the right to cancel the placement search. In such cases, the refund policy outlined above will apply based on the stage of the process at the time of cancellation.
Cancellations
If a student requests to cancel before a placement has been confirmed and no preceptor outreach has begun, a full refund of the deposit will be provided.
If a student requests to cancel after outreach has begun but before a placement is confirmed, the deposit is non-refundable, as resources have already been committed to the search.
If a student requests to cancel after a placement has been confirmed and full payment has been made, the non-refundable policy above applies.
Extenuating Circumstances
Preceptor Search recognizes that extenuating circumstances may arise (e.g., medical emergencies, family emergencies, or other unforeseen events). In such cases, Preceptor Search will review the situation on a case-by-case basis and may, at its sole discretion, offer a partial or full refund outside of the standard policy.
All requests for exception must be submitted in writing to Preceptor Search within 7 calendar days of the event or circumstance giving rise to the request.
